Users

Find an account, read its details, and suspend, unsuspend or erase it with a written reason.

On this page
  1. Find an account
  2. Read an account
  3. Suspend an account
  4. What the audit log records
  5. Erase an account

Users lists accounts: email, role, plan, profile count, status and created date. That is all an admin can see about an account. Nothing a student wrote is reachable from here.

Find an account

The Users list with search, role filter and status filter
  1. 1: Search email or id
  2. 2: Filter by role
  3. 3: Active or suspended
  4. 4: Open an account
  5. 5: A suspended account
  1. Open Users in the sidebar.
  2. Type in Search by email. You can also type the start of an account id, for example the eight characters shown under an email or next to a feedback note.
  3. Narrow by role with All, Students, Parents or Admins.
  4. Narrow by Status: Any, Active or Suspended.
  5. Select a row (or the email) to open the account.

What the columns mean:

Column Meaning
Account The email, and the first eight characters of the account id.
Role Student, Parent or Admin.
Plan The paid subscription, if any. During the beta it shows — for everyone: families get Family features through the beta switch, not a subscription.
Profiles Student profiles on the account. A student account has 1; a parent account has 0.
Status active or suspended. Hover a suspended pill for the date.
Created When the account was created.

The list loads up to 200 accounts, newest first. When it says Showing the first 200 matches, use the filters to narrow it. The list shows eight rows a page; use the page numbers under the table.

Read an account

An account's detail page with the Actions card
  1. 1: Email, role and id
  2. 2: Account metadata only
  3. 3: No access to content
  4. 4: Suspend with a reason
  5. 5: Erase on request only

The detail page shows the email, role, full account id, Created, Plan, Student profiles and, when suspended, the Suspended date.

Under the details: Session content, portfolio and wellbeing data are not visible to administrators. Only counts and metadata. This is by design and cannot be switched off.

Suspend an account

Suspending stops the account from signing in. Its data is kept, nothing is deleted, and you can undo it.

  1. On the account's page, select Suspend… in the Actions card.
  2. In Reason (required, min 20 chars), write why. For example: "Parent asked by email to pause access while they review screen time."
  3. Select Suspend account. Or Cancel to leave it as it is.
The suspend box with the reason field and the Suspend account button
    1. 1: Why, in 20+ characters
    2. 2: Confirm the suspension
    3. 3: Or cancel
  4. The status changes to suspended. If the account is an administrator, their console sessions end at once.

To undo it, open the account and select Unsuspend…, give a reason, and select Unsuspend account. Sign-in works again and all the data is still there.

What the audit log records

Before the suspension takes effect, the Audit log gets a row with:

  • When: the date and time.
  • Actor: your account (the first eight characters of its id).
  • Action: suspend_user (or unsuspend_user), with the account id as the target.
  • Reason: exactly what you typed.
  • before / after: {"suspended": false} and {"suspended": true} (the other way round for unsuspend).

If the audit row cannot be written, the suspension does not happen. If the suspension fails after the row is written, the row stays, so the attempt is still on record.

Erase an account

Erase is for a deletion request that reached you by email, for example a parent who cannot use the in-app delete. It is permanent and immediate. There is no undo.

  1. On the account's page, select Erase….
  2. Read the box. It says exactly what will go:
    • For a parent: the account, its email everywhere it was copied, its consent grants (revoked) and its subscription (cancelled). Their children's accounts are kept. Erase each child separately if the request covers them.
    • For a student: the account and every homework conversation, photo, summary and event under it.
  3. Write the reason, for example "Parent emailed beta@ on 24 Oct asking to delete their child's account."
  4. In Retype the account's email to confirm, type the account's email. The button stays greyed out until it matches.
  5. Select Erase permanently.
The erase box asking for a reason and the account's email retyped
    1. 1: Why, in 20+ characters
    2. 2: Retype the account email
    3. 3: Permanent, no undo

You return to the Users list. The audit row is erase_user.

Administrator accounts cannot be erased from the console. Reset password and Change role do not exist in the console.
