Invites and the welcome email
Create one invite code per family, send the welcome email, watch its uses, and revoke a lost code.
While sign-up is invite-only, nobody can create an account without a code. Invites is where you make those codes.
One code covers a family. The parent and each child use it once each when they sign up, so the default is 5 uses.
- 1: Family name
- 2: Parent plus children
- 3: Why it is issued
- 4: Create the code
- 5: Copy it for the email
- 6: Uses so far
- 7: Revoke a leaked code
Create a family code
- Open Invites in the sidebar. (Or select + New invite at the top; it jumps to the form.)
- In Label, type the family name, for example Rahman. Use one code per family. If a second parent needs their own code, label it Rahman 2.
- Leave Max uses at 5 unless the family is bigger. One parent plus four children is five.
- In Reason, say why, for example "Beta wave 1, recruited through the school parents' group."
- Select Create invite.
- A line appears under the button: Created K7QX-M2PD-9RTA. Send it to the family. Select Copy next to it.
Codes look like K7QX-M2PD-9RTA. They never use 0, O, 1, I or L, so they survive being read aloud. Families can type them in lower case; they still match.
The audit log records create_invite with the label, the number of uses and your reason.
Send the welcome email
The console does not email families. You send the welcome email yourself.
- Copy the code.
- Send the welcome email from beta@tutorcat.ai using the parent welcome email template, filling in the family name and the invite code.
- Send one email per family, never a bulk email, so no family sees another family's address.
- Write the sent date in your private recruiting sheet.
Before you send, check that the code is the one labelled with this family.
The parent goes to tutorcat.ai/login, taps Create an account, and types the code into Invite code. Each child who signs up types the same code.
Parents who arrive from a consent email
Some children sign up first and ask a parent for consent by email. In invite-only mode, that parent also needs an invite code to create their own parent account, even though they came from the consent link.
- Best: issue the code before the child signs up, and send it to the parent.
- If a child is already waiting: create a code labelled with the family name, for example Rahman parent, and send it to the parent straight away.
A child below their country's consent age cannot use the tutor until the parent approves.
Read the list
| Column | Meaning |
|---|---|
| Code | The code itself. |
| Label | The family name you gave it. |
| Uses | For example 2 of 5, with a bar. |
| Expires | never for normal codes. |
| Status | active: still usable. used up: every use taken. expired: revoked, or past its end date. |
Copy puts the code on your clipboard. Revoke appears only on active codes.
Revoke a lost or leaked code
- Find the code and select Revoke.
- Write the reason, for example "Family says the email with the code was forwarded by mistake."
- Select Revoke.
The Revoke invite box with the reason field - 1: Why it is revoked
- 2: Ends the code now
- The code stops working at once and shows expired. The row stays as a record.
Accounts already created with the code keep working. To replace the code, create a new one with the same label.
The audit log records revoke_invite with the code's state before and your reason.
On a phone
The Invites page works on a phone too, so you can copy a code while you message a family.
- 1: Session time left
- 2: Jump to the form
- 3: Copy a code
